Who Is Responsible: The Owners, Strata Plan EPS8857; The Owners, Strata Plan EPS8858; and The Owners, Strata Plan EPS8859 jointly administer this website through Club Gilmore.
Why We Collect Information: We review suggestions to assess community improvements, identify recurring needs, follow up and assess duplicate submissions. Tower is required for routing. Your name, email address, unit number and owner or tenant status are optional. We may request verification when a particular matter needs it. Your message and technical details may still identify you; avoid sensitive or unnecessary personal information.
Access and Sharing: Club Gilmore staff and authorized Club Committee members may access records when needed for these tasks. Council recommendations normally use a summary without identifiers; identifying details are shared only when needed and lawful. Recommendations sent to Onni or other outside organizations use anonymous summaries only. YCode processes submissions and may record IP addresses, browser details and page information. Automatic submission email notifications are turned off; older email copies may remain. A copy of the fields you submit is also stored in a restricted Google Sheet administered by Club Gilmore. Google processes this copy; IP addresses and browser details are not copied to the Sheet.
Retention: Club Gilmore staff regularly remove or de-identify information no longer needed, including email copies, the Google Sheet and exports. Staff carry out bulk de-identification in January 2030, then every five years. Required legal or decision records are preserved with restricted access. Only non-identifying summaries and aggregate request counts are retained for long-term community planning.
