Filter Checklist:
STAGE 01
Before You Move — Registration, Utilities & Protection
Complete at least 1 to 2 weeks prior to your scheduled move-in date
STAGE 01 · STEP 01Owners & Tenants
Strata Registration & Resident Portals
Each tower is an independent Strata Corporation, managed by Rancho Management Services (B.C.) Ltd. Register as a resident before building access credentials can be issued:
Homeowners — myRanchoStrata & PAD: Register your ownership profile on myRanchoStrata to review meeting minutes, official strata notices, and set up Pre-Authorized Debit (PAD) for monthly strata maintenance fees (due on the 1st of each month).
Homeowners — Submitting Tenant Form K: If you lease your suite, submit Form K through myRanchoStrata before your tenant takes occupancy.
Tenants — Form K via Landlord: Form K (Notice of Tenant's Responsibilities) is issued and submitted exclusively by the unit owner through their myRanchoStrata portal. Rancho requires Form K on file before concierge can register your fobs or add your name to the lobby directory.
Tenants — RService Registration: Once Form K is approved by Rancho, register on RService through your tower concierge to activate mobile enterphone buzz codes and coordinate elevator bookings.
Prerequisite Documents: Before concierge can issue building keys and fobs, please ensure Concierge has: (1) Form K for tenants, (2) your completed Resident Information Form with emergency contacts, and (3) a Certificate of Insurance confirming the required coverage.
Water and central building systems are funded through strata fees. Suite electricity, including the heat-pump compressor, is billed through BC Hydro; heating and cooling are available year-round.
BC Hydro (Electricity) — Homeowners: Open an individual residential electricity account in your name effective on or before your official completion date. Call 1-800-224-9376 or register online at bchydro.com. Keep your confirmation number for concierge records.
BC Hydro (Electricity) — Tenants: Review your BC Residential Tenancy Agreement. If electricity is not included in your rent, contact BC Hydro to open an individual account effective on your lease start date.
Novus Fiber: Symmetrical fibre internet with no fixed-term contracts. Visit novusnow.ca or call 604-642-8888.
TELUS PureFibre: Dedicated fiber packages and Optik TV bundles (typically requires 2-year agreement). Call 1-888-811-2323 or visit telus.com.
Shaw / Rogers Ignite: Coaxial cable internet and TV packages. Call 1-888-472-2222 or visit rogers.com.
Active insurance is required for every suite. Review the requirements below and find strata insurance documents in myRanchoStrata.
Mandatory for Owners: Unit owners must maintain Condo Owner's Insurance covering personal property, suite betterments/renovations, living expenses, and liability for the Corporation's insurance deductible.
Mandatory for Landlords & Tenants: Landlords must ensure tenants obtain and maintain active Tenant's Insurance (Renters Insurance) covering contents and third-party liability throughout the tenancy.
Essential Strata Deductible Protection: If water escapes from an in-suite appliance or fixture (washing machine, dishwasher, sink, toilet, HVAC), the resident is responsible for the building deductible. High-rise strata water deductibles typically range from $50,000 to $100,000.
Required Broker Endorsement: Ask your insurance broker for at least $100,000 in Strata Deductible Assessment coverage and $2,000,000 in personal liability coverage.
Proof of Insurance: Provide a digital copy of your Certificate of Insurance (Binder) to your concierge upon move-in.
Moving Day Logistics — Service Elevator & Loading Bay
Reserve with Concierge at least 48 hours in advance of truck arrival
STAGE 02 · STEP 04Concierge Booking
Service Elevator & Loading Bay Booking
Book moves and major furniture deliveries with your tower concierge:
Reserve both the Service Elevator and P1 Loading Bay with Concierge at least 48 hours in advance. Unreserved moving trucks cannot be accommodated.
Permitted Move Hours: Moves are permitted from 9:00 a.m. to 8:00 p.m. daily and must start no later than 5:00 p.m.
Non-refundable move-in fee: $250.00, payable to the Strata Corporation before occupancy. Furnished rental suites with no large furniture: $150.00.
Refundable Damage Deposit: A refundable $250.00 Damage Deposit is posted with Concierge prior to moving and returned following a post-move inspection of common areas and the elevator cab.
Subsequent Deliveries & Move-Outs Free: There is no non-refundable fee for furniture/appliance deliveries or move-outs during continuous residency, provided they are booked 48 hours in advance.
Exterior Door Security: Security and fire doors must never be propped open unattended. A designated person must remain stationed at the door to maintain building security during loading.
STAGE 02 · STEP 05Loading Bay & Routes
P1 Residential Loading Bay & Vehicle Access
Use the P1 Residential Loading Bay for moving trucks and large deliveries:
P1 Residential Loading Bay: Enter through the Gilmore side entrance at 2186 Gilmore Ave, Burnaby, BC V5C 4B3. Level L1 commercial loading docks are reserved for Onni Commercial retail operations.
Tower Lobby Drop-Off Differences: Tower 1 features a passenger drop-off outside its lobby entrance. Towers 2 and 3 do not—all moves and large item transfers for Towers 2 and 3 must use the P1 residential loading bay.
Elevator Protective Padding: Concierge installs protective padded wall curtains in the service elevator prior to your arrival.
Confirm with your moving company that their truck height is strictly under 3.5 metres. Over-height vehicles cannot enter the parkade ramp and will not fit.
Mailboxes & Keys: Mailboxes are in each tower lobby. You will receive 3 pre-assigned mailbox keys. Canada Post provides daily mail service.
Electronic Building Fobs: Fobs grant secure proximity access to your residential tower lobby, common doors, and programmed elevator access strictly to your residential floor.
Parkade Vehicle Access (Mandatory UHF Tag & LPR Registration): Both credentials are mandatory for parking access. The entry gate arms at the L1A Carleton Entrance and P1 Gilmore Entrance operate via Licence Plate Recognition (LPR). The private residential parking gates on P3 and P4 operate hands-free via your UHF windshield gate tag. Additionally, your UHF gate tag provides overnight access through the outer Onni Commercial security gates when closed between 1:00 a.m. and 5:00 a.m.—see the Resident Parking section for licence plate registration and stall details.
Enterphone (Visitor Intercom): Concierge connects your mobile phone to the lobby visitor directory. When visitors dial your unit code, your phone rings—answer and press * (star key) on your phone keypad to buzz open the building entrance for your guest.
STAGE 03 · STEP 07Club Gilmore
Club Gilmore Access & Verification
Residents of Towers 1, 2 and 3 share access to Club Gilmore’s 75,000+ sq ft amenity complex. Complete the identification requirements below to activate access.
Amenity ID Verification: Permanent Club Gilmore access requires government-issued photo ID showing your Gilmore Place address, such as a BC Driver’s Licence, BCID or BC Services Card. New residents should update their address with ICBC, MSP, banks and CRA.
90-Day Temporary Grace Period: If your government ID update is currently in progress, Concierge can issue a temporary 90-Day Amenity Fob. Before 90 days expire, present your updated photo ID or 3 consecutive months of utility/bank statements to confirm permanent activation.
Unified Credential (Age 15+): Every resident aged 15+ must register a unique personal email address in Rancho and the Xplor Amenity Booking System. Shared family email accounts are not permitted.
Resident & Guest Access: Amenity privileges are reserved for verified residents and their accompanied guests.
Have a Dog? Complete DNA Registration: Register online and arrange a cheek swab with the Club Attendant before entering Club Gilmore or using the Dog Park or Pet Wash. Keep the DNA tag on your dog’s collar. See Dog DNA Registration.
Keep entrances secure, protect your access credentials and leave shared routes clear for neighbours and emergency access.
Doors & Visitor Access
Building entry is available to residents 24/7 with authorised access. Storage rooms are closed overnight, from midnight to 5 a.m. If you need access during these hours, ask your tower concierge to let you in.
Let secure doors and parkade gates close fully behind you. Never prop open entrance, fire, parcel-room or storage-room doors.
Do not let unknown or unauthorised people follow you through a secure entrance. Report unauthorised entry to Concierge immediately. Give access credentials only to occupants, guests, employees or contractors permitted to access your home.
Report lost or stolen fobs and parking decals to Concierge immediately so they can be deactivated. Obtain replacements only from the strata or an authorised vendor.
Do not clone fobs or decals, or duplicate common-property keys without written permission. Suite-door lock changes must remain compatible with the building’s master-key system and use an approved locksmith.
Keep doormats, shoes, racks, umbrellas, strollers, bicycles and garbage bags inside your suite or designated storage area. Do not leave personal belongings in hallways, stairwells or other common areas.
Keep parcel rooms, storage rooms and fire exits secure after use. Report a door or gate that does not latch to Concierge.
Resident Parking
Most residences at Gilmore Place include an assigned parking stall. If your home does not have one, or if you require an additional stall, three rental options are available below. Each option varies in location, monthly cost, security level, and tower elevator access:
Option 1

Water Shut-Off Valves: Exercise the main hot/cold handles and fixture angle-stops under sinks and toilets to prevent seizing.
Balcony Weatherstripping: Inspect exterior door and window seals; condition them with silicone lubricant or petroleum jelly.
Carpet: Use professional hot-water extraction without heavy detergent residue that alters fibre pH.
WARRANTY PRESERVATION & CRITICAL RULES
Critical Care Rules
Follow these Homeowner Manual practices to prevent in-suite damage and protect builder and manufacturer warranties.
Self-Cleaning Oven: Open adjacent cabinet doors and drawers during the cycle; vented heat can delaminate vinyl finishes, which is excluded from warranty.
Evoke Laminate: Never wet-mop, damp-mop with excess liquid or steam-clean; blot spills immediately. Mopping or standing water can cause uncovered cupping, gaps or swelling.
Wool/Woven Carpets: Do not use Dyson motorized beater bars, which void the carpet warranty; avoid bare oily feet to prevent matting.
Cabinetry: Use only a damp (not wet) cloth with 95% water and 5% mild dish soap. No wax polish, multi-surface sprays, abrasives or solvents.
Stone: Use trivets or hot pads under hot cookware and appliances, including air fryers and slow cookers. Do not use acidic cleaners, vinegar, lemon or lime, bleach, or oven cleaner on quartz or marble. For quartz, clean with soap and water or a mild, non-abrasive quartz cleaner.
Heat Pump/Returns: Do not turn off the compartment power switch unless directed by an HVAC technician; keep 12–16 inches clear before return-air grilles.
Smart Thermostats: Before installing or adjusting an Ecobee, Nest or other smart thermostat, ask a qualified HVAC technician to confirm compatibility and the correct heat-pump and compressor lockout settings.
Cooking Smoke & Alarms: Run the range hood while cooking and reduce the cooking heat if needed. Do not open your suite door to the hallway to vent smoke. Never disable an alarm. Contact Concierge about recurring false alarms or suspected faults.
Note: Some electrical and mechanical items fall under a 2-year warranty from completion. Consult your Homeowner Manual first before incurring third-party costs (damage from misuse or lack of maintenance is not covered).

SUITE SPECIFICATIONS
Paint Colour Schemes & Wall Care
Paint Specifications & Wall Care
Official Cloverdale Paint specifications for Gilmore Place Tower 3 suites, as installed by original painting contractor Voytek Painting:
Suite Walls & Bathrooms: Cloverdale Paint — 8436 White Delight (Interior Master Painter Latex 0325005, Eggshell finish).
Doors, Trim & Baseboards: Cloverdale Paint — No-tint White (Ecologic Waterborne 70653, Pearl finish).
Suite Ceilings: Cloverdale Paint — No-tint White (Interior Master Painter Latex 0376005, Flat finish).
Original Painting Contractor: Voytek Painting.
Wall Cleaning & Cure Time: Latex paint requires 30 days to fully cure. Do not wash or scrub newly painted walls during the initial 30 days. When cleaning, use mild liquid dish soap on a soft damp sponge. Never use abrasive scouring pads, Magic Erasers, or rough cloths, as they burnish eggshell paint and leave permanent shiny patches.
TV Mounting
Walls use steel studs, with spacing that varies by wall and unit layout. For a steel-stud installation, secure the mount to two studs using suitable fasteners, such as TOGGLER SNAPTOGGLE anchors, in accordance with the mount and fastener manufacturers’ requirements.
Onni installed plywood backing at the intended living-room TV location, generally indicated by electrical outlets higher on the wall. The backing’s position and extent vary and are not guaranteed. Have a qualified installer confirm the studs, backing and concealed services before drilling, and select hardware suitable for the wall, mount and TV weight.
SECTION 06 // RENOVATION PLANNING
Renovations & Council Approval
Plan your application before booking work. A renovation approval form is available on myRanchoStrata.
Check Before You Start
Council approval is required for work involving structure, exterior features, common property, plumbing, electrical wiring, heating or fire-safety systems, flooring, or walls that may affect neighbours.
Flooring changes require approval even when replacing the original material with the same type. Hard flooring must meet the required acoustic standard. Confirm the scope and approval requirements with management before work begins.
Apply Through myRanchoStrata
Sign in to myRanchoStrata for the renovation approval form. Submit the form and supporting documents at least 14 days before the next scheduled Council meeting.
Include plans and specifications, a materials list, applicable permits, contractor names, WCB numbers and insurance details, and estimated start and completion dates. Structural, HVAC and building-envelope proposals require supporting documentation from certified professionals.
Notify Concierge before approved work begins. Pre-book the elevator and arrange protective pads. Give your contractors the building requirements and use qualified or licensed trades.
Work hours are 8 a.m.–5 p.m., Monday–Friday, excluding statutory holidays, unless Council prescribes otherwise. Plan to finish within 60 days of approval unless Council approves more time.
Keep common areas clean each day. Arrange off-site removal of renovation debris; do not use the building’s waste bins.
Approval Conditions & Completion
Council may require a liability agreement, a refundable damage deposit, construction insurance or an independent professional review at the owner’s expense.
Provide final permits when the work is complete and arrange any required inspection. Alterations carry ongoing maintenance and repair responsibilities.
Approval cannot override prohibited work, including balcony enclosures, building-envelope penetrations or alterations that obstruct access to safety systems.
SECTION 07 // TOWER 3 · BALCONY CARE
Balcony Care & Safety
Keep your balcony safe in high winds, protect its waterproof surface, and prevent water or debris from reaching neighbours below.
Furniture & Wind Safety
Use furniture manufactured for outdoor use. Bring loose cushions, umbrellas, lightweight chairs and empty planters indoors, or secure them during bad weather without piercing the building envelope.
Keep bicycles, footwear, household clutter, indoor furniture and waste bins off balconies. A weather-resistant, lockable patio storage box is permitted if no part extends above the railing, it matches the balcony’s colours, remains in good condition and closed when not in use, and is heavy or weighted against wind.
Flooring & Planters
Do not use balcony doormats, carpeting, artificial turf, bamboo mats or other moisture-trapping coverings. Interlocking deck tiles must be free-floating, drain freely underneath and lift out easily for inspection. Barbecues require their own fire-resistant, grease-trapping protective mat.
Place pots on the floor with waterproof saucers that contain all runoff. Do not hang plants from railings or ceilings. Remove dead plants and secure empty pots.
Cleaning & Runoff
Clean by hand or with a low-pressure hose; never pressure-wash. Contain water so it cannot drip onto lower balconies, common areas or the building exterior.
Do not shake rugs or throw debris, ash, cigarette butts, snow or ice over the railing. Let snow melt naturally or use a safe, non-corrosive, salt-free de-icer.
Supervise children and dogs, keep pets away from railings, and prevent pet waste or grooming debris from affecting neighbours. Never tie a pet to the railing.
Changes, Appliances & Cooking
Obtain written Council approval before exterior-visible alterations or installations. Balcony enclosures and building-envelope penetrations are not permitted. Do not alter balcony-door seals.
Appliances are generally prohibited. One garage-ready, top-opening chest freezer up to 5.5 cubic feet is permitted if it does not extend above the railing when closed, matches the balcony colours, plugs directly into the outdoor outlet and meets the manufacturer’s safety requirements. Keep it clean and rust-free.
Follow the barbecue and propane requirements below before purchasing or using outdoor cooking or heating equipment.
Barbecues & Propane Safety
Use permitted equipment, maintain clearances and secure fuel containers against wind. These requirements apply to Tower 3 balconies.
Permitted Barbecues
Use an electric barbecue, a propane barbecue with a tank no larger than 20 lb, or a natural-gas barbecue connected to an outlet originally installed by the developer.
Charcoal or coal barbecues, smokers, high-smoke cooking appliances, deep fryers and open-vat oil cooking devices are prohibited.
Place a fire-resistant, grease-trapping mat underneath. Keep at least 60 cm horizontally from windows, glass railings and exterior walls, and at least 1 m below soffits, sprinkler heads or combustible structures. Follow greater manufacturer clearances where required.
Fire Tables & Tabletop Heaters
Small CSA-certified propane fire tables and tabletop heaters are permitted if they do not exceed railing height, use a tank no larger than 20 lb and have a functional flame guard made of tempered glass, metal or stone. Tall freestanding patio heaters are prohibited.
Use only heat-resistant lava rock, fire glass or ceramic logs specifically manufactured and CSA-approved for gas fire pits. Never use river rocks, landscaping stones, gravel or non-tempered glass.
Keep fire media dry and the device under a waterproof cover when not in use. If the media gets wet, ignite on low for at least 15 minutes before increasing the flame.
Propane Tanks & Small Canisters
Keep no more than two tanks, each up to 20 lb: One actively connected to a permitted barbecue and one actively connected to a permitted fire pit. Spare, disconnected and empty 20 lb tanks are prohibited.
Up to four disposable propane or butane canisters, each no larger than 1 lb, may be stored inside a permitted balcony storage box. Keep that box on the balcony.
Never store propane tanks or canisters inside a suite, storage locker, parkade, garbage room or other enclosed common area.
Safe Use & Wind Protection
Keep tanks upright and secured in the barbecue cart, a stable holder or a weighted basket so they cannot tip, roll or blow toward the balcony edge. Never lay tanks on their side. Close valves fully after use.
Inspect tanks and connections regularly. Remove and replace damaged, deteriorated or expired tanks immediately.
An adult must attend an operating barbecue and fully extinguish it after use. Secure covers against wind. A suite using a barbecue or fire pit must have an accessible ABC fire extinguisher in a balcony storage box or near the balcony door.
Do not create excessive smoke or strong odours that cause a significant nuisance to neighbours.
Shared Living
SECTION 08 // TOWER 3 · WASTE & RECYCLING
Garbage Room & Recycling
Sort waste before heading to the garbage room. Follow the posted bin signs, which take priority if the collection streams change.
Garbage & Full Bins
Securely bag and tie household garbage, including dust and hygiene products, before placing it in the compactor or garbage bin.
Keep lids able to close. If a bin is full, use another bin for the same stream or hold your waste until collection. Never leave bags or items on the floor, on top of bins, or beside them. Clean up spills immediately.
Recycling & Cardboard
Flatten clean cardboard completely and use the dedicated cardboard bin. Greasy pizza boxes and other food-soiled cardboard go in compost.
Place clean, dry single-stream recyclables loose in the bin. Remove container caps and lids. Use the separate glass and refundable-container receptacles as signed; if the refundable bin is full, use single-stream recycling.
Keep plastic wrap, toys, batteries, electronics, broken glass and ceramics out of single-stream recycling.
Food Scraps & Compost
Use green certified-compostable bags or paper bags for food scraps. Regular plastic and uncertified “biodegradable” bags are not accepted.
Compost accepts food scraps, bones, coffee grounds and filters, soiled paper and plant trimmings without soil or rocks. Keep glass, metal, plastics and pet waste out; securely bag pet waste for the garbage compactor.
Large Items & Hazardous Waste
Arrange off-site disposal of furniture, mattresses, appliances, electronics and renovation debris at your own expense. Use a scheduled strata “Hard Rubbish” collection only when one is announced, and only in its designated areas; some items carry disposal fees.
Batteries, paint, chemicals, propane tanks and other hazardous materials never belong in building bins or Hard Rubbish collections. Take them to an appropriate off-site facility.
SECTION 09 // PETS & COMMUNITY CARE
PETS AT GILMORE PLACE
Gilmore Place permits dogs and cats. The Dog Park and Pet Wash are on Level 4. Complete your dog’s DNA registration before entering Club Gilmore or using its pet amenities.
Dog & Cat Limits
Permitted Dogs and Cats: Up to two dogs, up to three cats, or one dog and up to two cats. A pet staying more than 14 days in a calendar year counts toward these limits.
Dog Height: Dogs may not exceed 60 cm at the withers. Council-approved exceptions may apply in limited circumstances.
Club Access & Leash Requirements
Leash Requirements: Dogs must be leashed in elevators, hallways, common spaces and while going to or from the Dog Park. Off-leash play is permitted only inside the designated Dog Park.
Club Access: Pets are not allowed in other amenity rooms or on the Level 6 Terrace; certified service dogs performing their duties are excepted. Guest dogs must also be DNA registered before entering Club Gilmore.
Cleanup & Reporting
Clean up pet waste immediately and report accidents to Concierge. In Club Gilmore, photograph the affected area, even after cleaning it, and send the photo to clubattendant@clubgilmore.com so staff can sanitize it.
To report uncollected pet waste, note the date, time and location and contact your tower concierge or strata agent.
Dog Park & Pet Wash
Dog Park · 7 a.m.–10 p.m. Dogs may be off leash inside the designated park only.
Dog Wash · 7 a.m.–11 p.m. Open use is 7 a.m.–7 p.m.; it is bookable from 7 p.m.–11 p.m. Remove hair and dirt from the sink, floor and dryer area before leaving.
Dog DNA Registration
Dogs Must Be DNA Registered Before Entering Club Gilmore. Your dog cannot access the Dog Park or Dog Wash until the cheek swab is complete and its assigned DNA tag is worn on its collar.
The program helps keep our buildings and amenities clean. Reported incidents have fallen from daily to about once a month.
Register Your Pets: Notify management within 30 days of your unit becoming a Pet Unit.
Pre-Register Online: Use the Gilmore Place World Pet Registry form.
Arrange a Cheek Swab: Bring your dog directly to the Club Attendant; management or an authorised agent must complete the swab with the supplied kit.
Complete Registration: Keep the DNA tag on your dog’s collar while on the premises.
$87.50 per dog covers the DNA kit, plus $47 shipping per household. The Strata Corporation makes no profit. Confirm current fees with the Club Attendant; certified service-dog kit and shipping fees are covered.
Quiet hours are 10 p.m.–8 a.m. Unreasonable noise or vibration that disturbs neighbours is not permitted at any time.
Quiet Hours & Noise
Keep Noise Within Your Home
During quiet hours, keep voices, television, music and gatherings low enough not to disturb others. Avoid running, jumping or moving furniture in ways that create loud impacts.
Choose footwear that does not create noise audible in neighbouring suites. Musical instruments and audio equipment must not interfere with neighbours’ comfort.
Report a Disturbance
For an active disturbance, call your tower Concierge so staff can investigate while it is happening. Provide the location, time and a description of the noise.
For recurring concerns, keep a record of the dates, times and duration. A written complaint or witness account can help; a decibel reading is not required for Council to consider a complaint.
Tower 3 prohibits smoking and vaping in suites, on balconies and patios, and throughout common property and amenity areas. This includes tobacco, cannabis, CBD and other substances, and applies to residents and their guests.
Report Smoking
Contact Concierge promptly about an active smoking or vaping incident. Include the location, date and time.
The balcony-smoking bounty is open to public reports concerning Towers 1 and 3. Tower 2 is not currently participating.
Provide an original, unedited photo or video clearly showing the person smoking, with its original metadata intact.
Include a wide-angle or panorama photo that lets staff identify the floor by counting from street or patio level, or from the top of the building. Add the incident date and time.
Include only evidence relevant to the incident. Avoid capturing unrelated people or private activities. Send evidence directly to concierge rather than posting it publicly.
Email the relevant concierge. If you are unsure which tower is involved, ask a concierge where to send the report.
First valid report: $100 Amazon Rewards Card. Second valid report within 24 hours: $50 Rewards Card. Additional reports for the same unit within seven days receive no reward or notification.
Rewards depend on verification and meeting the program requirements. Qualifying reporters are notified. Reporter information is treated as confidential, subject to disclosures permitted or required by law. Rewards are approved monthly at strata meetings and sent to the reporting email address.
